Introduction
The Stock Administrator is responsible for the effective monitoring of minimum and optimum stock levels of all assigned equipment, tools and goods by accessing and analysing stock-related data/information, and by initiating timeous orders in line with effective stock control procedures and practices in line with strategic objectives. The Stock administrator is also required to reconcile General Ledger accounts for stock and Cost of Sales.
Job description

Stock Control Duties

  • Anticipate issues and take appropriate action according to agreed production schedule.
  • Gather/collect data relating to stock levels for the core stock items from relevant schedules.
  • Reconcile stock schedule readings by performing appropriate calculations and checks to confirm consumption corresponds with invoiced volumes.
  • Ensure balance between paper records,  physical levels and consumption (within defined, acceptable, limits of error).Highlight variances which fall out of acceptable limits and report to line manager for investigation.
  • Oversee and administer all stock administration operational activities as requested by the manager and supervisor in line with approved policies and procedures.
  • Assist the manager and supervisor with the accurate coordination and provision of relevant stock control operational information as required.
  • Establish and maintain professional Business Partner interactions with all key stakeholders to ensure mutually successful relationships.
  • Coordinate all relevant stock administration activities according to SOPs (standard operating procedures) and in line with internal policies and procedures.
  • Prepare all necessary stock control documentation according to quality and compliance standards.
  • Conduct all relevant stock control filing activities in line with policies and procedures, ensuring accuracy throughout the process.

Compile Stock Reports

  • Generate previous day stock movement reports by collating data from all relevant sources in line with quality and time standards.
  • Submit accurate and timely information to the line manager for information/decision-making purposes.
  • Perform all stock administration related duties in a cost-effective manner.
  • Proactively remain abreast of new information regarding methods of stock control and administration throughout the industry.
  • Provide satisfactory resolution of all escalated, complex customer service queries and/or concerns regarding stock control in line with company policies and procedures.
  • Contribute towards the design and implementation of fit-for-purpose initiatives aimed at improving customer service for Tracker across all relevant stock control touch points.
  • Ensure that queries and complaints are resolved according to the relevant SOPs and standards implemented throughout the department.

 

Initiate Stock Orders

  • Physically inspect stock levels and take readings in line with SOPs and policies and procedures.
  • Record actual stock level details with narrative relating to stock ordering requirements and report the information to the line manager for further action and resolution where required.

Internal Compliance with Tracker

  • Ensure strict overall compliance throughout the department and put measures in place to drive adherence of stock control procedures.
  • Responsible for contributing towards Operational Risk Mitigation through the proactive identification and mitigation of potential compliance risks, ensuring adherence to industry regulations  and Tracker's internal policies within scope of control.
  • Contribute towards driving continuous improvement through conducting relevant stock control risk assessments and investigations with a focus on highlighting corrective measures.
  • Ensure strict adherence to all internal Tracker policies, procedures and regulations in all work deliverables

Minimum requirements

  • Matric 
  • At least 2 years’ experience within a stock control environment.
  • Computer literacy with knowledge and experience in Microsoft Office programs, including Word and Excel.
  • Valid Driver’s License (longer than 12 months).
