Introduction
TRACKER requires an experienced, energetic and passionate Human Capital Administrator to provide administrative support to the Human Capital (HC Operations) function. The Human Capital Administrator will be responsible for record keeping, reporting, system maintenance and providing general HC guidance on all matters relating to the entire HC value chain from recruitment to exit
Job description

Key roles and responsibilities:
  • Co-ordinate all administrative tasks related to payments to HC suppliers within the HC Operations team.
  • Prepare monthly analysis on all HC Operations related payments.
  • Prepare relevant credit card reconciliations and ensure timeous submission to Finance.
  • Maintain record keeping systems for storage, tracking and retrieval of relevant information and materials.
  • Assume responsibility for the ordering of stationery on behalf of the HC team.
  • Provide general HC advice and guidance to Tracker staff as and when required.
  • Booking of assessments and providing coordination feedback to the HC Business Partners and the Psychometrist.
  • Responsible for creation of new employee starter packs for submission to payroll.
  • Provide a general administrative support service to the HC department throughout all HC processes, including:
  • Support the recruitment of new employees by following up on all outstanding documents as and when required.
  • Attend consultative committee and relevant HC Operations meetings.
  • Compilation and recordkeeping of minutes for consultative committees (incl. EE Committee meetings).
  • Portal utilisation to ensure HC Premier system is optimised for HC Operations. Suggest updates or changes if required.
  • Assume responsibility as the Super User of the HC Premier system.
  • Ensure timeous integration to facilitate proper data links processing (changes that need to be updated prior to loading done by Payroll).
  • Link employees to position codes to activate their profiles on HC Premier.
  • Manage the employee termination process on HC Premier.
  • Conduct exit interviews and complete relevant record keeping.
  • HC Monthly Reporting  
  • Assume responsibility for the successful implementation of the end to end recruitment process in line with agreed SLAs.
  • Ensure that all roles are advertised electronically.
  • Conduct shortlisting for all vacancies.
  • Arrange interviews and book candidates on behalf of the panel (attend interviews as mandatory).
  • Book successful candidates for psychometric assessments.
  • Coordinate assessment feedback to relevant stakeholders in the recruitment decision making process.
  • Draft offer letters for successful candidates.
  • Assume responsibility for the full on-boarding of new employees.
  • Prepare new employees for training and induction.

Minimum requirements

Qualifications and experience required:
  • Matric
  • Diploma or related qualification in Human Resources Management.
  • 3 Years’ experience within a general HR function
  • 2 Years’ recruitment experience. 
  • HRIS Systems
  • Strong administration skills
  • A high level of confidentiality
  • Excellent interpersonal skills
  • Tact and diplomacy
  • The ability to work accurately with attention to detail
  • Flexible and willing to learn
  • Computer literate, MS Office with strong Ms Excel experience knowledge.
  • Ability to work independently, under pressure and must take responsibility.
